KEMU CAREER (VACANT) POSITIONS, ROLES, REQUIREMENTS & QUALIFICATIONS

1. Executive Personal Assistant to the Vice Chancellor.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Facilitates the efficient utilization of the vice chancellor’s time through development and coordination of a complex calendar of appointments, meetings, social engagements, and University and community functions with individuals and groups;
- Preparation of reports, speeches and other addresses as requested by the Vice Chancellor;
- Taking notes, preparing talking points and short agenda for Vice Chancellor meetings.
- Coordination of timely preparation and dispatch to the Committees of the Council and the University Council respective notices, agenda items and discussion documents;
- Assisting in facilitating the effective planning and organization of Committees of Council, Council and Board of Trustees meetings;
- To serve as secretariat during Committees of Council and Council meetings;
- Preparation of official correspondences in and outside the University as instructed;
- To coordinate logistics, hospitality, accommodation among others for VIPs to Vice-Chancellor;
- Providing information for reports and records through research, data retrieval, compiling and/or tabulating statistics, and organizing and presenting the information in useable and understandable formats;
- Involvement in the preparation of the graduation ceremonies;
- Authentication of graduation certification and other documents before sealing;
- To serve as a member of the University sealing Committee;
- Supervising staff working at the Vice-Chancellor’s office;
- Performing any other duty as may be assigned by the Vice Chancellor.
MINIMUM REQUIREMENTS
- A Master’s degree in social sciences, business or a related field;
- At least five years of increasingly responsible administrative experience which must include an extensive knowledge of general office procedures and practices and responsibility for the supervision of others on a regular basis;
- Excellent verbal, written, and communication skills; i.e., the ability to communicate effectively verbally and through written correspondence as well as with individuals in one-on-one basis;
- A precise command of grammar, punctuation, spelling, and the correct usage of the English language and Kiswahili;
- Must be adept at consistently multitasking while accurately attending to detail;
- Computer literacy including keyboarding ability and proficiency with word processing, spreadsheets, and presentation software;
- Excellent organizational skills;
- Must be able to work independently, use initiative, and make substantive decisions quickly;
- The ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds;
- The position requires an individual who is committed to Christian values and of high ethical standards, integrity, and professionalism.
The position will be held on a three year renewable contract. Those applying from the Academic Division will be “seconded/deployed” to the Vice Chancellors’ office for the contract period. The terms of service and remuneration going with the position will be in addition to the current remuneration of the officer.
