Job Purpose To provide efficient and effective Registry correspondence workflow and reception function for City Administration Unit in compliance with National Archives and Records Services Act of 1996, eThekwini Records management Policy and Records and Registry Procedures Manual.
Key Responsibility Areas • Undertaking all filling of Council correspondence and ensure that file references have been allocated in line with the approved file plan.
• Undertaking front desk functions.
• Preparing and reporting monthly statistics of correspondence processed for submission to supervisor.
• Undertakes electronic records management function.
• Providing necessary support to supervisor and manager with registry related duties as and when necessary.

• Written Communication- The ability to communicate complex information in understandable document for specific audiences.
• Attention to detail- Ability to accurately and precisely apply classification schemes to ensure consistent methods of organizing and creating descriptive records with a view at making them accessible to users.
• Organisational Awareness- The ability to understand the Municipality’s objectives, and the impact of decisions on the community and the functioning of the department.
• Computer Literacy- Displays a level of literacy in an ability to utilise technology in the workplace to optimise performance and deliver superior results.
• Information management- The gathering and analysis of data and the management thereof utilising various techniques.
• Interpersonal Relationships- The ability to establish and maintain productive relationships with people within and outside of the Municipality.
• Service delivery orientation- The capacity to listen attentively, grasp issues, present information in a clear manner and respond appropriately to verbal and written communication of others.
• Client Orientation and Customer Focus- Understands the service needs of a client/customer (internal or external) and actively focuses on anticipating, meeting, and exceeding the needs in a timely and appropriate manner.

Essential Requirements  An appropriate level of secondary education.
6 Months relevant experience.
